1. Why am I reading this webpage?

Thank you for your interest in the Singapore Chemistry League (“SChL”). The SChL organising team (“the Organising Team”, “we”, “us” or “our”) places utmost emphasis on maintaining the participants’ (“you” or “your”) rights to privacy. In this Privacy Policy, we outline why and how we collect and use your personal information, as clearly as possible.

We encourage you to read through these terms carefully so as to understand the implications that participating in our Services have on your privacy. If there are any terms in this policy that you do not agree with, please discontinue use of our Services immediately. Do note that we may revise this Privacy Policy for any reason without prior warning, so do visit this page periodically to check if you still agree with our revised terms.

This Privacy Policy describes how we, in agreement with the Singapore Personal Data Protection Act 2012 (“PDPA”), may use your information when you:

  • Register for the competition through our registration form, or
  • Visit our Website or take part in our competition at sgchemleague.org.

In this Privacy Policy,

  • Account” refers to a unique account created for your team to access our services;
  • Participant” refers to an individual who has registered through our registration form for the SChL;
  • Personal data” refers to any information by which an individual can be identified;
  • Services” refers collectively to our Website and related operations such as the competition interface;
  • Website” refers to the webpage of SChL, accessible from the URL: sgchemleague.org

2. What information do we collect?

tl;dr: We collect your name, email address, password, and other log data when you use our Services.

There are various avenues throughout the registration and competition process where we may collect your data. The data we collect will always be information you voluntarily provide to us when you use our Services, or when you contact us. The type of data depends on the context of your activities and interactions with us on our Services, and may include the following:

When you register for the competition,

We collect your name, school, email address, team name and a unique password.

Your name, email address and team name will be collected when you register to participate in SChL through our registration form. After registration, our system will generate a common account for your team to access the competition interface at our Website. Your SChL Website account is activated once your team provides a unique password with which you can log into your account.

For the purposes of confidentiality, we will not have access to your password. Please be reminded that you are responsible for keeping your password and account confidential, and must notify us in the event of any unauthorized use of your account or loss of your password.

Please ensure that all personal information (name, school, email address) you provide to us is factual and accurate. You must duly notify us in the event of any changes to your information following registration, as soon as the changes are made known to you - it will be in your benefit to do so. Procedures for amendment of personal information is covered in Clause 9 below.

During the duration of the competition,

We keep track of all options you select, be it page settings or selections of competition questions, when you interact with our Services. During the competition period, all actions you take on the Website (e.g. the answers you key in) will also be logged and stored.

We make use of cookies, which are small data files created and stored in your web browser after you use our Website, to streamline and customise our user experience. We will only use tracking cookies, which help us:

  • To authenticate participants’ accounts, and
  • To save and remember user preferences and settings.

The cookies we use will be for functionality purposes only. Data collected via cookies will not be shared with any third parties (e.g. in the form of advertisement cookies).

3. Who has access to my personal data?

Your data will not be made known to any parties besides us in the Organising Team.

However, please note that we may disclose your personal data (name, school) required in some avenues as part of our Services (e.g. on the competition leaderboard and Website archives).

Your personal details and results may also be shared with your school. We will not share any personal details that your school does not already know (e.g. your personal email).

4. How do we collect your data?

tl;dr: We collect your data through our form when you register for SChL, and when you use our Services.

Your data will be made accessible to us when you fill up our registration form.

Note that the data we collect will always be information you voluntarily provide to us, whether during registration or within the competition duration.

About Discord:

  • Discord is an instant messaging and Voice over Internet Protocol (VoIP) social platform owned by Discord Inc. By joining the Discord server, “Singapore Chemistry League”, we will only be able to view your username and any further information you choose to show according to your personal Discord settings. Any records on the Discord server, such as chat logs, recordings, etc. will be handled according to Clause 6. Any information about the handling of personal user data in Discord can be found in Discord’s privacy policy.

5. Why do we collect your data?

tl;dr: We collect your data to send you details of the competition and evaluate your team’s performance.

We collect your personal information (name, email address) and team information (team name) for the following non-exhaustive list of purposes:

  • To aid in the verification of your identity as a legitimate student and participant of the competition;
  • To disseminate information to you on the competition, via the email address you have provided - this includes the competition’s date and time, rules and reminders, instructions for login and any other relevant information;
  • To aid in the distribution of results and certificates to the various schools;
  • To address and communicate queries, requests or feedback posed by you.

We keep track of your actions taken during the competition for the evaluation of your team’s results and progress. It also aids in the identification of any cheating or dishonest acts. This is done to keep SChL a fair competition where any actions that would give any team an unfair advantage over their peers are prevented and addressed.

6. How do we protect your data?

tl;dr: In compliance with local laws, we only collect information which you consent to. We will not share your personal information without your consent and prior notice.

We are committed to keeping your data safe. We have put in necessary protections to your data, including certified encryption techniques and safety measures on our Website and database. Nevertheless, despite our efforts to safeguard your information, do take note that no system of storage nor information transfer over the Internet is ever completely secure. Please ensure that you access our Services under a secure environment.

To protect your information from malicious attacks, we will not use your personal data for any purpose other than to enable provision of our Services, and will not disclose your personal data to third parties not already made known to you. We will keep your data only for as long as necessary to keep the competition running, unless retention for a longer period of time is required. In particular, we may store your names, team name and school name to maintain a record of the past teams and performances which will be displayed on the Website archives.

All other records, including but not limited to personalisation options, data logged during the competition, and other data in our records will be deleted either one month after the competition date or after we have finished addressing any issues surfaced during the competition, whichever is later. We will not keep any of this data.

7. How can I access, amend or withdraw my data?

tl;dr: You can contact us to access, amend or withdraw your data. However, if you wish to withdraw your data, this may compromise your participation in the competition.

At all times, you reserve the right to access or view the personal data you have provided. You may do so by emailing us at [email protected], upon which we will provide you with a copy of the data you have requested. We seek to respond to your request within ten business days.

We in the Organising Team depend on your consent to keep our Services accessible. Should there be any updates which affect your confidence in the data you have provided to us, you are allowed to request the editing of inaccurate personal information, or the deletion of personal information at any time.

Please take note however that deletion or withdrawal of personal data expresses to us your disagreement with any part of this Privacy Policy, and it may not be possible for us to reserve a place for you in the competition. We seek to process your request within ten business days, and therefore certain requests made exceedingly close to the competition date may not be entertained.
